The University of Maine Farmington is seeking applicants for the position of Administrative Specialist, temporary for the Psychology Division. This temporary position is for the Spring semester 2021 with an anticipated start date of January 1, 2021 and end date of June 30, 2021.

The successful candidate will report to the Division Chair for the Division of Psychology & Human Development.

The Administrative Specialist performs administrative and clerical work which requires extensive office procedural knowledge and organizational skills. Work involves considerable internal and external contacts as well as handling verbal and written communications for a broad range of questions. Ability to work as part of a team is essential, as are providing exemplary customer service, maintaining confidentiality, the ability to manage multiple tasks, and to prioritize, and the ability to work in a diverse environment with many interruptions. Judgment and initiative are frequently exercised and work is typically performed under general rather than specific instruction.

Provide administrative support for the division's teaching faculty (approximately 9 full-time and 5 part-time/adjunct faculty members). Track faculty activities, meetings, advisees, maintain records of syllabi, and provide reminders of departmental tasks and deadlines. Assist faculty with processing reports and submitting receipts to Concur. Support students pursuing the Psychology major or minor, as well as students taking psychology as an elective or general education requirement. This includes 1. Continued regular communications with all new accepted students and continue that communication through graduation. 2. Registration processing of new matriculated students and check to make sure they have completed all their "to do" items. 3. Scheduling and communicating with students being inducted into Psi Chi, The International Honor Society in Psychology. Setting up for the ceremony, taking pictures, and cleaning up after the event. 4. Contacting students about the Mental Health Rehabilitation Technician/Community (MHRT/C) certification and making sure to add this sub-plan to their student record. Also making sure they complete all the required courses. 5. Updating the Psychology face book site. 6. Maintaining tracking lists for students in the 3+2 program, as well as students pursuing the MHRT/C certificate. 7. Maintaining three Psychology major lists: all psych majors by their last name, by their rank, and by their advisor.

Other responsibilities include: Develop new vendor accounts in MarketPlace and maintain established accounts, Track office supplies/equipment-inventory and restock as necessary. Submit online work orders to IT or Facilities for work needed on phones, computers, copier, and the psychology building. Support processes regarding faculty searches, hiring, and on-boarding, completing electronic and physical payroll forms in support of deivisions faculty members. Additional clerical duties of the same nature may be asigned.

Work Scheduled: 40 hours a week, Monday-Friday 8:00 am- 4:30 pm, with some flexibility expected.

Qualifications:

Required:

  • High school diploma or equivalent (G.E.D.) and sufficient experience
  • Two years administrative support experience
  • Demonstrated computer proficiency
  • Managing multiple tasks, prioritizing and assigning work
  • Ability to use English grammar, punctuation, and spelling effectively
  • Customer service experience

Preferred:

  • Maintaining electronic and physical records and files
  • Preparing unique and specialized documents
  • Experience in a university or similar office setting
  • Experience with Google Suite (Drive, Sheets, etc.) strongly preferred
